Connect Google Workspace

Let your agents use your Gmail, Calendar, Tasks, Drive, Docs, Sheets, Slides and Contacts.

The Google Workspace connector lets your agents use your Google apps: Gmail, Calendar, Tasks, Drive, Docs, Sheets, Slides and Contacts. You connect your own Google account once, then choose which agents can use it.

What Google Workspace lets your agent do

App Your agent can Your agent can't
Gmail Search your email, read one, save a draft reply, send an email Delete an email
Calendar List your calendars and events, add, change or remove an event
Tasks List your task lists and tasks, add or change a task Delete a task
Drive Search and list your files, open one, create one, copy one Delete a file
Docs Create a document, open one, add text at the end Edit text in the middle
Sheets Create a spreadsheet, open one, read or write one range of cells Delete a spreadsheet
Slides Create a presentation, open one, add a blank slide Delete a slide
Contacts Search your contacts, open one, add one Delete a contact

Two of these can't be undone: an email your agent sends, and an event it removes from your calendar.

Before you start

  • A Google account. Each person connects their own; an admin can't connect yours for you.

Connect Google Workspace

  1. Go to Connectors and select Google Workspace. !SCREENSHOT: Connectors with Google Workspace selected
  2. Select Connect.
  3. On Google's screen, choose your account and tick the apps your agents may use. !SCREENSHOT: Google's consent screen

When it worked: you see Connected Google Workspace. Select Done. The page then shows Connected, with an icon for each Google app: in colour if you authorized it, greyed out if not. Point at an icon to see Authorized or Not authorized.

Turn it on for an agent

  1. On Google Workspace's page, under Your agents, turn on the switch next to the agent. !SCREENSHOT: Google Workspace's page with Your agents

When it worked: the switch next to the agent is on, and your agent can use every Google app you authorized on its next request.

For All agents, the switch on the agent's page, and who can change what, see Which agents can use it.

What your agent can see

  • Only the apps you ticked on Google's screen. An app you left unticked has a greyed-out icon, marked Not authorized, and its tools are unavailable.
  • Only your own Google account: your email, calendars, files and contacts.
  • The full list is on Google Workspace's page, under Tool list, grouped by app.

Every use is recorded in your agent's Activity.

Disconnect Google Workspace

  1. On Google Workspace's page, select Connector options (…), then Disconnect.
  2. Confirm with Disconnect.

When it worked: the page shows Not connected. Your agents' switches for it turn off, and Switchboard asks Google to cancel its access. Nobody else's account changes. If you connect again, turn your agents back on.

If it doesn't work

  • A Google app shows Not authorized. Select Connector options (…) › Update access, and tick every app you want on Google's screen. This replaces your earlier choice.
  • The switch next to your agent is greyed out. Connect your Google account first.
  • The page says it's turned off for this account by an admin. Ask an admin on your team account.
  • Something else. See what your agent tried in its Activity, or call Morse from any connected chat.
